How to report property loss claims resulting from the June 5 flood

The University sustained significant damage arising from the flood that was experienced on June 5, 2013 and the following communication is to provide direction as to how to proceed if your area was impacted and there is property loss.

A project has been set up to address all claims for damages arising from this incident and the project No. 801095 should be noted on any estimates and/or invoices for repair or replacement of any damaged items. Financial Services has also created a specific FOAP under Necho for expenses as follows: 11005-6545-801095.

Any expenses related to staff time that have been allocated because of this loss should be approved and processed through each individual department. Documentation should be submitted on a monthly basis to Risk and Safety Services (RSS) for reimbursement under the University's insurance program.

The University has notified its insurers and Risk and Safety Services is co-ordinating all communications with the insurer's appointed representatives.

The Flood Schedule of Loss form should be completed for any contents of offices and other impacted areas that sustained damage and directed to Risk and Safety Services. RSS will review all claims submissions and provide direction for repair and/or replacement. If you have already notified RSS of your damaged property the Flood Schedule of Loss form has already been completed.

RSS will approve all expenditures for property that has been damaged and will process payment for such claims that fall within the scope of the property policy coverage, under the project. RSS will provide documentation of any and all claims to the University's insurer for recovery.

Please note that personal property of an officer or an employee of the University is covered whilst on University premises, subject to a maximum recovery of $5,000 any one person. Approved claims will be paid on a replacement cost basis unless the item is not replaced. Damaged articles that are not replaced will be paid on a depreciated value basis.
