Room Booking

Booking Procedure (Revised October 27, 2014)

The following spaces may be booked online from any university computer:

  • W425 (David Spinks Theatre)
  • W420 Drama Studio
  • W401 Classroom – from 5:00 pm to midnight and Weekends only
  • W512 Rehearsal Studio
  • B570 Rehearsal Studio
  • W480 Rehearsal Studio
  1. Create an account, under ‘My Account’, or log in if you already have an account.
  2. Under ‘Reservations’, choose ‘Book a Room’
  3. Fill in a requested date, time and attendance and select ‘Find A Room’.
  4. Click the ‘+’ to select a space. Click ‘Continue’.
  5. Enter an event name (e.g. DR3040 Rehearsal, Improv Club Meeting, etc.), event type, and search for a group (Your group could be any Drama course (e.g. DR2420, DR3750 etc.), TheatreXtra, or any Drama Club (TAS, Improv Club, MTS); enter your Department’s name (e.g. Theatre & Dramatic Arts) if you are unsure.
  6. Submit the reservation. You will receive a Booking Status email, which holds your booking. A Confirmation email will be sent to you once the booking is either confirmed or cancelled by the room-booking administrator the next business day.
  7. You may edit or cancel bookings via the My Reservations tab.
  8. Print off the confirmation email and submit to security (329-2345) after hours to gain access to the space. You will not be allowed access unless you have this confirmation in hand.

Booking Conditions and Responsibilities

* Booking privileges will be immediately suspended if these conditions are not met.

  • After all rehearsals/classes/etc., rooms must be cleaned and tidied thoroughly (all garbage disposed of, furniture/props/chairs/tables neatly placed against walls, floors swept as necessary).
  • Food and beverages are NOT allowed in ANY space.
  • Colour coded rehearsal furniture may NOT be removed from their assigned room.
  • Under no circumstances are desks, chairs, equipment, etc. from other classrooms to be moved into any of the bookable spaces.
  • Thermostat settings are to remain between 18-22 degrees Celsius.
  • Floor taping, lighting instruments, gels, lighting patch and sound setup or patch should not be altered in any rehearsal rooms without the approval of the Technical Director.
  • Students must obtain written permission from a faculty member in order to work in any of the spaces between midnight and 7 AM, and can only work in groups of 2 or more.
